Vino ("we," "our," or "us") operates the askvino.com website and the Vino SMS wedding concierge platform. This Privacy Policy describes how we collect, use, and protect your information.
1. Information We Collect
Account Information: When you sign up, we collect your name, email address, wedding date, venue name, and payment information (processed by Stripe).
Guest Information: Wedding hosts provide guest names, phone numbers, language preferences, dietary requirements, travel details, and room assignments. This data is entered by the wedding host, not collected directly from guests.
SMS Messages: We process and store SMS conversations between guests and the Vino concierge to provide the service. Messages are stored in our database and are accessible to the wedding host's admin account and to Vino staff for troubleshooting and service improvement purposes.
Voice Recordings & Photos: Guests may voluntarily upload voice messages and photos through token-authenticated links provided by the wedding host.
Usage Data: We collect standard web analytics data including IP addresses, browser type, and pages visited.
2. How We Use Your Information
- To provide the Vino concierge service (answering guest questions, managing logistics, processing payments)
- To send SMS messages to wedding guests on behalf of the wedding host
- To process payments via Stripe
- To improve our response quality and service
- To provide customer support and troubleshoot issues
- To send transactional emails (account setup, password resets)
3. Message Monitoring & Processing
All SMS messages between guests and Vino are processed using automated systems, including artificial intelligence technology (Claude by Anthropic), to generate responses. Messages are stored in our database and may be reviewed by Vino staff for:
- Troubleshooting service issues
- Improving response quality
- Ensuring appropriate use of the platform
- Responding to support requests from wedding hosts
Wedding hosts (couple accounts) do not have access to individual SMS transcripts. Only aggregate data (message counts, response times) is visible to couple accounts. Full message transcripts are accessible only to Vino administrators.
4. SMS & Consent
Vino sends SMS messages to wedding guests on behalf of the wedding host. By using Vino, wedding hosts represent that they have obtained appropriate consent from their guests to receive SMS messages. See our SMS Consent Policy for details on guest opt-in requirements.
5. Data Sharing
We do not sell your personal information. We share data only with:
- Stripe — for payment processing
- Twilio — for SMS delivery
- Anthropic — for automated message processing
- Cloudflare — for website hosting and file storage
- Supabase — for database hosting
- Railway — for application hosting
6. Data Retention
We retain account and guest data for the duration of your subscription plus 90 days. SMS message history is retained for 12 months after the wedding date. Voice recordings and photos are retained until deleted by the wedding host or 12 months after the wedding, whichever comes first.
You may request deletion of your data at any time by emailing hello@askvino.com.
7. Data Security
We use industry-standard security measures including encrypted connections (HTTPS/TLS), secure database hosting, and access controls. Payment information is handled entirely by Stripe and never stored on our servers.
8. Your Rights
You have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Export your data
- Opt out of marketing communications

9. Children's Privacy
Vino is not directed to children under 13. We do not knowingly collect information from children. Guest phone numbers for minors are managed by their parents/guardians through the wedding host's admin panel.
10. Changes to This Policy
We may update this policy from time to time. We will notify registered users of material changes via email.
